Q. Are copies of the policy mailed directly to the insured?
A. Yes, for policies on Direct Bill. Policies that are on Agency Bill are mailed to the agent to distribute.
Q. What does the insured receive when their new or renewed policy is mailed?
A. The policy copy sent to the insured includes a policy jacket, a copy of our Privacy Policy, a notice regarding the possibility of a premium audit
(if applicable), declarations, policy forms and certificates.
Q. What does the agent receive when we send a new or renewed policy?
A. The agency copy contains a full set of policy documents, a notice regarding the possibility of a premium audit, policy forms not previously issued and certificates.
Q. Do I need to mail copies of the certificates to certificate holders?
A. No, Red Shield mails copies of certificates, including those for additional insured or property interests, directly to the certificate holder.
This includes copies of certificates for policies that are agency billing.
Q. How is an automated renewal processed?
A. Five days prior to the normal renewal notification guideline for the state, we mail packets that include declaration pages and forms, renewal bill, and
additional interest forms to stakeholders. If the insured returns the full or minimum required payment to us within five business days prior to the onset of the
renewal term, the policy is renewed automatically.
Q. Which types of policies are available for automated renewal?
A. Currently, and under most conditions, floating property and yacht policies that are set up on a Direct Bill basis are eligible to receive automated
renewal offers. The final determination is made by our underwriters.
Q. How is a renewal quote distributed?
A. Direct Bill quotes and renewal bill forms are mailed directly to the insured and to the agent. For some lines of business, mortgagee billing can be arranged.
When a renewal quote for a mortgagee billed policy is mailed, the renewal bill is sent to the mortgage holder, with quote copies furnished to the insured and
to your agency. For Agency Bill policies, all copies of the quote are mailed to your agency for distribution. The exception to this is a quote for a risk located
in the State of Oregon. Agency Billed Oregon insureds receive a copy of the quote directly. However, all copies of the renewal bill are sent to your agency.
Q. If mail sent to the insured is returned to Red Shield, will I be notified?
A. In most cases, if the policy is active, yes. The exceptions include direct notices of cancellation or reinstatements. These are sent to the last known
address and are retained in our files if returned. You are copied on notices.
Q. What about returned mail from certificate holders?
